Direct traveler login

Administrators of agencies have the ability to control whether login credentials can be sent to travelers. This feature is particularly useful for customers who use their own portals (e.g., via SSO) or have internal restrictions regarding credential distribution.

The setting allows System and Circle administrators to manage the sending of credentials to travelers.

The configuration is available at two levels:

  • Agency Level: Defines general settings for all companies and travelers under the agency.
  • Company Level: Provides more granular control for individual companies and their travelers.

Functional Details

  • Agency Level: "Direct traveler login" setting
    • Deactivated Setting:
      • For Administrators Access (Circle, Agency, Company):
The "Send Credentials" button and the email address under the username will not be displayed in the traveler profile for this agency. Circle and Multiple Agency Admins will see the button and email address according to the settings of the agency to which the traveler belongs.
      • For Travelers Access:
The "Change Password" and "Two-Factor Authentication Setup" buttons will not be visible.
      • Special Handling for "Two-Factor Authentication Setup" Button:
If "Require 2FA for User" is set to "EVERYBODY", the 2FA button will still be shown.
If "Require 2FA for User" is not set to "EVERYBODY," the 2FA button will still be visible if the user has an active 2FA setup, allowing deactivation.
      • Login and Password Reset Restrictions:
Travelers attempting to log in will receive a standard error message.
If a traveler uses "Forgot Password," they will receive an email explaining that Direct traveler login is forbidden.
      • Self-Registration:
Works as usual, but credential emails will not be sent after registration completion.
    • Activated Setting:
System, Circle, and Agency administrators can define how credentials are managed at the company level. The field, " Direct traveler login ", will appear in the "Your {} team" section under company settings.

  • Company Level: "Direct traveler login" Setting
This setting is available only when the agency-level " Direct traveler login " setting is activated.
    • ON (Default):
Everything functions as usual; buttons and email addresses remain visible. This is the default setting for all existing and new companies when the agency setting is activated.
    • OFF:
The same restrictions as the agency-level "Deactivated" setting apply. No "Send Credentials," "Change Password," or "Two-Factor Authentication Setup" buttons will be displayed in traveler profiles.

Notes:

  • Field Direct traveler login can not be maintained via CSV export/import
  • Setting will not affect the Profile Reminder functionality
Self-RegistrationThis is a module that is only visible if it has been activated on the agency as it is associated with fixed monthly costs per company. If the button is set to "On" on a company profile, then a self registration link can be generated and sent to the travellers or travel-arrangers to create the traveller profiles.
Bounce-backThe Bounce-back feature provides the possibility to automatically re-synchronize profile ID's (PAR Title, Record Locators, Login ID etc.) to a preferred interface target at the time of profile creation or modification of the profile ID.
Which profile ID’s are bounced back depends on the custom publish action(s) 'COPY'. Only the sources genPublishState-<interface>.recordlocator or genPublishState-<interface>.internallocator can be used

Concur PollingTo allow profiles synchronization from Concur to Faces to take place. We currently poll from Concur every 15 minutes but the synchronization from Faces to Concur is real time

Self-Service traveller deletionActivates the ability of all travellers of the given agency to be able to delete their own faces profiles. This action can be executed after a traveller logs in to the Website with his Faces credentials
mTrip SSOIf activated the "SSO Integration Key" field is activated. Here, an integration key which has to be activated both on mTrip's side as well as on Umbrella's side is entered. This allows the users to be able to access their Umbrella Faces profile in mTrip mobile app
YouBook IntegrationApplicable if used by agency/company
Profile Reminders

Activates the usage of Profile Reminders

This is an automated email alert for expired documents such as credit cards, passports, visas or rail cards. Eight months before the expiration of a passport and one month before the expiry of the other documents, an automatic email will be sent to either the traveller, travel arranger, company or agency administrator. This email reminds the recipient that a document is about to expire.

The image below illustrates the logic designed for sending profile reminders:

Possible company level settings:

OFFProfile reminders off for all profiles of the company
ONProfile reminders on for all profiles of the company (a traveller only receives a profile reminder alert if they received Umbrella Faces credentials in the first place)
ON_IGNORE_SEND_CREDENTIALSProfile reminders are sent to every traveller of the company regardless of whether credentials were sent or not (mainly used for SSO integration)
Count no. of ProfilesButton activation enables visibility of the number of company as well as traveller profiles on the agency
